Stage, lighting rig and guest seating being set up for an evening event in Doha

What is Event planning and experiences at AI-DARE?

AI-DARE's event planning service designs and delivers events for brands in Qatar and the GCC, from product launches and activations to conferences and corporate moments. One team handles the concept, venue, production, guests and permits, and captures content on the day so the event keeps working online long after the doors close.

What you get

  • Event concept and creative direction, written natively in Arabic and English
  • Venue sourcing, production, staging, lighting, sound, AV and on-site logistics
  • Product launches, brand activations, conferences, brand experiences, corporate events and Ramadan or National Day moments
  • Content capture on the day: photography, film, social coverage, live streaming, and creator and media invitations
  • Registration, guest management, permits and approvals, and a post-event report

How it moves

  1. 01

    Brief

We start with why the event exists: who must be in the room, what they should feel or do when they leave, and what a good result looks like for the business.

  2. 02

    Concept

We develop the idea, the guest journey and the look of the space, and use AI visualisation to show you the room before anything is built or booked.

  3. 03

    Produce

Venue, suppliers, staging, AV, permits, guest lists and run of show are planned backwards from the date, with one producer accountable for every detail.

  4. 04

    Deliver and report

We run the day on site, capture content as it happens and send a post-event report on attendance, coverage and what we would change next time.

How far ahead should you plan a corporate event in Qatar?

For most corporate events in Qatar, start at least two to three months ahead, and earlier for large launches, conferences or anything in peak season. Popular venues book up quickly between October and March, permits and approvals take time, and good suppliers are committed early around Ramadan, National Day and major sporting and cultural events.

Weather shapes the calendar. Outdoor events are most comfortable from late autumn to early spring. In the summer months most events move indoors, and that puts more pressure on hotel ballrooms and indoor venues.

Approvals depend on the venue and the format. A hotel ballroom usually needs less paperwork than a public space, a temporary structure or an event with ticketing, food stalls or a big audience. We confirm what each event needs with the venue and the relevant authorities early, so nothing waits on a signature the week before.

Shorter timelines are possible. They usually mean fewer venue options, higher supplier costs and less room to test the experience, so we tell you plainly what a short timeline will cost.

What does an event agency in Doha handle?

An event agency in Doha handles everything between the idea and the last guest leaving: concept, venue, budget, suppliers, staging, lighting, sound and AV, permits, invitations, registration, hospitality and the run of show. A good one also plans the content around the event, so the moment reaches far more people than the room can hold.

Most of the work is invisible on the day. Floor plans, power and rigging checks, supplier contracts, guest lists in two languages, seating, accessibility, security and contingency plans for weather or delays are what let the event feel easy.

At AI-DARE the event sits inside the same creative direction as your brand, campaign and film. The invitation, the stage, the screens, the photographs and the social posts all look and sound like they belong together.

How do you turn an event into content for social media?

Plan the content before the event, not on the day. Decide which moments matter, design the space so they look good on a phone screen, brief a dedicated photo, film and social crew, and agree who posts what and when. Then the event produces stories, reels, a recap film and press images instead of a few blurry photos.

Same-day content travels furthest. We set up a quick edit and approval loop on site, so highlights can go live while people are still talking about the event, in Arabic and English.

Creators and media need their own plan. We invite people whose audiences fit the brand, give them a clear brief and good access, and confirm disclosure and licensing rules for each market before anything is agreed.

Live streaming widens the room. Conferences, launches and talks can reach audiences across the GCC, as long as connectivity, sound and rights are tested ahead of time.

How do you measure whether an event worked?

Measure an event against the objective set in the brief, not against how busy the room looked. Depending on the goal, that might be attendance against invitations, qualified leads, meetings booked, sales, media coverage, content reach or follow-up actions. Set up registration, tracking and lead capture before the event, so the numbers exist afterwards.

The post-event report covers what happened and what it led to: attendance, guest feedback, content performance, coverage and the leads or sales your team can trace back to the day.

We include what did not work. A queue at registration, a session that lost the room or a post that went out late are all lessons for the next event, and we would rather say so than hide them.

Questions, answered.

What types of events do you plan?

Brand and product launches, activations in malls and public spaces, conferences and summits, brand experiences and pop-ups, corporate gatherings, and seasonal moments such as Ramadan evenings and Qatar National Day. We focus on events with a brand or business purpose. We do not plan weddings or private family occasions.

Do you handle event permits and approvals in Qatar?

Yes, as part of production. What an event needs depends on the venue, the location, the structures, the audience size and activities such as ticketing, catering or filming in public. We work with the venue and the relevant authorities to confirm the requirements early and build the approval time into the plan.

Can you plan events outside Qatar?

Yes. We plan events across the GCC, including Saudi Arabia and the UAE. Each market has its own venue norms, approval processes and rules for creators and media, so we work with trusted local suppliers and confirm the requirements in each country before we commit to dates.

How is event budget usually split?

Venue, production and AV usually take the largest share, followed by hospitality, talent and content capture. Every event is different, so we build the budget from the objective and the guest experience, show you where each riyal goes, and keep a contingency line for the changes that always happen close to the date.

Can you run the event content and social coverage only?

Yes. If another company is producing the event, we can provide the photo, film, live streaming and social crew on their own. We will still ask to be involved early, because the best content depends on staging, lighting and timing decisions that are made well before the day.

Do you work in Arabic and English at events?

Yes. Invitations, registration, signage, scripts, presenters and on-screen content are prepared in both languages, with Arabic written as original copy rather than a translation. For conferences we can arrange simultaneous interpretation, and we plan stage and screen layouts so both languages read clearly.
